Under KCSIE 2026, governing bodies must be able to evidence that all staff have read Part One in full by 1 September 2026. Managed AI tracks completions and keeps the evidence in your Assurance File — including every new starter, all year round.
Schools are expected to have an AI policy in place for September 2026, reviewed at least annually. Onboarding drafts yours to the point your governing body can ratify it; the retainer keeps it current, with amendments pre-drafted whenever the framework moves.

Staff paying for AI tools personally usually means pupil or staff data going somewhere unprotected. The Register and the 48-hour verdict replace that with sanctioned alternatives.
Any member of staff can ask about any tool. Within 48 hours: where its data goes, whether it trains models on your content, retention periods, and whether it meets the DfE's product safety expectations and the ICO Children's Code.
New systems that process pupil or staff personal data get their DPIA before they're rolled out, and the backlog for tools already in use is cleared during onboarding.

Band = total staff headcount, measured at onboarding and re-checked at renewal only. A one-form-entry primary sits in the 10–25 or 26–50 band; most secondaries sit in 100–150. On-site visits run termly at the smallest schools and monthly from 51 staff. Past 150 staff the champion network carries day-to-day capability, so each additional person costs less.

Each school in a trust is its own delivery unit, banded by its own headcount — its own champions, sessions and on-site days. Trusts with two to four schools get 15% off the total; five or more, 25% off. Onboarding is £500 per school. One policy suite, one trustee pack and one Register structure consolidate at trust level — that's why the discount exists.
Worked examples:
Three primaries in the 26–50 band: 3 × £1,245, less 15% — £3,175 a month for the trust.
Six schools (four primaries 26–50, two secondaries 100–150): £8,680, less 25% — £6,510 a month for the trust.
