Managed AI is ReadyToday's AI consultancy delivered as a monthly product. We run your organisation's whole AI function: training your staff month by month through a private Learning Space, coaching a champion network inside your organisation, keeping your AI policy, AI Register and DPIAs current, maintaining the evidence in an always-ready Assurance File, and measuring the impact every term. It's priced by organisation size, from £995 a month.

Pricing is by total headcount, in published bands: £995 a month for 10–25 staff, £1,245 for 26–50, £1,495 for 51–99, £1,850 for 100–150 and £2,250 for 151–300, with 300+ priced at the scoping call from £2,450. There's a £500 one-time onboarding and nothing else up front. No minimum term, one month's written notice. Prices exclude VAT.

Onboarding is the build phase, and everything it creates is yours: we capture your workload baseline, discover what AI is already in use, build your AI Register, clear the DPIA backlog, draft your AI policy to the point your board can ratify it, choose and induct your champions, populate your Learning Space, and agree a 90-day roadmap. It's a one-time £500, charged at the start.

No. Managed AI is monthly rolling with one month's written notice, and there's no exit fee. We'd rather keep you because the work is good.

Everything that was built for you: your AI policy, your AI Register, your Assurance File, your DPIAs, everyone's certificates, completion records, baselines and impact reports. They live in your organisation from day one — we couldn't hold them hostage if we wanted to. Access to the Learning Space itself ends with the subscription, because its content is refreshed monthly as part of the service.

Your band is your total headcount — everyone, not 'users' or seats, because the product covers the whole organisation. We measure it at onboarding and re-check it at renewal only, so new starters never change your price mid-term. If you've crossed a boundary at renewal, the band changes then, announced in advance.

Each school in the trust is banded by its own headcount, because each school gets its own champions, sessions, on-site days and 1:1 coverage. Trusts with two to four schools get 15% off the total; five or more schools, 25% off. Onboarding is £500 per school. What consolidates at trust level — one policy suite, one trustee assurance pack, one Register structure — is why the discount exists.

Champions are a handful of your own staff — trained properly, coached monthly, and kept ahead — who carry day-to-day AI capability inside your organisation. Ofsted's 2025 study of early adopters found most of the schools and colleges it visited had an AI champion who was instrumental in bringing staff on board, and that in larger providers and trusts, AI leadership brought together data, IT and curriculum roles. We build that model as standard. It's also a condition of sale: named champions with protected time, signed off by your head or MD. An organisation that won't commit that isn't ready to buy, and we'd rather both of us knew at the scoping call.

Message us any time — 24/7, 365 days a year. A real AI specialist replies by the next day, and usually much sooner. Your named consultant handles most things; for anything deeper, the whole team is behind them.

Against a baseline, not a feeling. Onboarding captures how many hours your people currently spend on the work AI can help with. Every term you get a written report against that baseline — hours back, where, and for whom — plus adoption monitoring in between, so quiet corners get support before they become a problem. Schools get it termly; businesses quarterly.

They ask, and within 48 hours they get a verdict: where the tool sends its data, whether it's safe for your work, and any conditions. If it passes, it joins your AI Register with a named owner. That's how the Register stays a living inventory rather than a snapshot — and how staff stop paying for unvetted tools personally. The Register also defines what's covered: adding a system brings it into scope, and if an addition materially changes your estate we'll say so at the next renewal, never mid-term.
