1
Context and constraints
- A multi-site education trust with hundreds of devices, inconsistent records, and no central inventory.
- The trust needed cost-effective, self-sustaining asset management, with no dedicated IT staff at every site.
- Devices were being lost, under-utilised, or replaced unnecessarily due to lack of lifecycle visibility.
2
Approach and delivery
- Deployed GLPI as a free, self-hosted asset management platform with automated discovery agents.
- Built repeatable provisioning workflows using MDM and scripted configuration for consistent device setup.
- Created per-site dashboards showing device age, warranty status, and upcoming refresh needs.
3
Operational handover
- Trained site IT contacts on inventory updates, provisioning procedures, and lifecycle reporting.
- Documented all processes as step-by-step runbooks stored in the trust's internal knowledge base.
- Established quarterly review cadence to keep inventory accurate and refresh planning on track.
