Onboarding new staff: IT checklist for the first week

Before day one

  • Create all accounts (email, core systems, communication tools) and verify they work before the person arrives.
  • Prepare their device with standard configuration, security software, and required applications pre-installed.
  • Set appropriate access levels based on their role: least privilege by default, with a clear process to request more.

  • Walk through device setup, password manager enrolment, and multi-factor authentication activation.
  • Deliver a brief security orientation: phishing awareness, acceptable use, and who to contact if something seems wrong.
  • Share links to key documentation: internal wiki, IT support process, and self-service password reset.

First week follow-up

  • Check that all systems are working and the new starter can access everything they need for their role.
  • Introduce relevant training resources: recorded walkthroughs, scheduled sessions, or self-paced guides.
  • Collect feedback on the onboarding experience so you can improve it for the next person.
